OCS had outgrown its internal Workgroup environment with employees tied to the office for all their data requirements whilst also being required to be on site delivering service to their array of clients.
Access to important notes, finance functions and quotations were accessed via slow remote desktop connections. The method of delivering IT was holding back the potential growth of the business.
Integer inspected and documented the current emailing system to determine the best method for migrating to Office 365. We agreed the desired outcomes of moving to the new email, calendar, and file management system.
Once confirmed the migration of mail was started and ran for several days to update all existing emails to the new email system. Upon completion at an agreed time all email was redirected to be sent to Office 365, users were instructed on how to connect their mobile devices to the new emailing system.
Remote access was provided to the office computers, where old versions of Office removed and were updated with the latest versions of Office 365 Word, Excel, Outlook and PowerPoint. Outlook was then pointed to the Office 365 servers to send and receive emails.
OneDrive for Business was configured to synchronize company files across desktop computers, mobile devices, and web browsers. Folder permissions were created to restrict users access to sensitive information.
Since upgrading to Microsoft Office 365 Exchange Online users now have the ability to send and receive emails from multiple devices and access all previous correspondence. Multiple shared mailboxes have been created so that required users can monitor incoming requests for quotations and other services, all users of the shared mailboxes have near real time visibility to see what emails have been actioned and what still requires actioning, this helps to ensure all emails are responded to without double handling.
Across devices the full range of company files are available, now using OneDrive, and tiered access has been provided depending on the level of access required. The company now also has the ability to schedule events in any person’ s calendar or creating shared calendars for scheduling use of shared resources.
